General Acknowledgements
Please review and acknowledge the following items:
Your event must take place during Williams Center/Rec Sports hours of operations. If you are using a facility other than the Williams Center, in addition to ensuring the Rec Sports office is open, your club must also ensure the other facility is open and/or available
In the event your club must host its event outside of operating hours, the charges affiliated with the scheduling of a Building Supervisor (either opening the facility early or staying after hours) may be applied to your club via a UWWhitewater chargeback
Club/Intramural Sports staff will automatically be scheduled for all events determined at the discretion of Club Sports administrative staff. If your club traditionally does not receive supervision and would like to request supervision, please do so immediately
All Club/Intramural Sports staff are certified in first aid, AED and CPR administration, as well as protocol to identify signs and symptoms of concussion, stroke and heatrelated illnesses and emergency action plan protocol. On-site staff are NOT medical personnel and cannot diagnose injuries, although basic first aid treatment will be provided. Staff will always grab ice. If supervision is not provided for your event, Building Supervisor staff in Williams Center Room 100 can assist with getting ice. Athletic trainers may be requested, but cannot be guaranteed. Athletic trainers providing service for Intercollegiate Athletics may not be utilized for Club Sports events unless in cases of emergency (i.e. cardiac episodes, threatening situations)
Any additional paperwork and/or preparation for this event requiring a followup discussion/appointment with Club Sports administrative staff will be communicated. Your club is strongly encouraged to meet at least two-three days prior to your event to allow staff and club leaders/members enough time to make event alterations, plans, etc. Club members are responsible for ensuring these follow-up discussions are had. If a club does not communicate with Club Sports administrative staff, the staff may not know how to best help your club and learn of what else you may need
In the event laundry services are needed before, during or after this event, please contact clubsports@uww.edu immediately. Plans can be made, but not guaranteed for laundry services to be available during your event. In the event any uniforms, equipment, supplies, personal belongs, etc. become saturated with hazardous material (i.e. blood, other bodily fluids, etc.) during your event, you may request assistance to clean the item(s) by placing the item(s) in a red biohazard bag and placing the biohazard bag in the Williams Center Equipment Room. Building staff can assist with these efforts to ensure all item(s) are treated appropriately
When your event is over, it is expected all facilities used are returned to a clean and functional state. This means that all equipment items/supplies/etc. are neatly returned to where they were taken from, garbage/recycling is properly disposed of (especially around team bench and spectator areas) and any items that need to be addressed with Club Sports staff are addressed via the PostEvent form. Don’t forget to fill that out! Clubs are responsible for all facilities and items related to their event
Weather Resources
If this is an outdoor event, we encourage your club to monitor weather resources and use your best judgment at all times. Unless you believe hosting your event would put people in imminent danger, it is suggested you do not make assumptions about weather without having a contingency plan in place. Safety first!
